Privacy Policy for Organizations
It explains what data we receive from the companies, clinics, hospitals, universities and other organizations that subscribe to Conexta, and how we protect it.
1. Who is responsible
Conexta is responsible for processing the data described here. You can write to us at info@conexta.us with any privacy question.
2. What data we receive
When you request a subscription and use the account, we process:
- Organization data: legal name, trade name, type, tax ID, website, phone, address, country, region and city;
- Contact person data: first and last name, job title, email, phone and date of birth (used only to check that the person is over 18 and not shown to other people);
- Verification documents you attach (for example company registration or licenses) and the notes or replies you write to us;
- Account and usage data: plan, activity on the platform, contributions and collaborations, and basic technical data (IP address, device, dates) for security and operation;
- A record of your acceptance of these documents: which version, when and in what language;
- Communications we exchange with you.
3. What we use it for
We use the data to: review and verify the request; create and manage the account; email you about the status of the request, the creation of your password and the service; enable contributions and collaborations; prevent fraud and protect security; comply with legal obligations; and improve Conexta.
We do not sell your data or use it for third-party advertising.
4. Who sees what
May be visible to other users: trade name, type of organization, general location, description and contributions you choose to show.
Never shown publicly: tax ID, verification documents, date of birth or review messages.
Your contact email or phone is shared with an organization or professional only when a collaboration or project is under way and, where applicable, with the consent of the person involved. Conexta does not offer chat between users.
5. Verification documents
They are stored in private storage, with no public links. Only authorized Conexta staff can open them, through temporary links lasting a few minutes, and every opening is logged. We use them only to verify the request.
6. Who we share data with
With service providers (hosting, file storage and email delivery), who must treat it confidentially and only for that purpose; with authorities when the law requires it; and in a possible reorganization of Conexta, with prior notice. We do not share your data with third parties for their own commercial purposes.
7. International transfers
Conexta and its providers may process data in the United States and other countries. Where applicable, we apply contractual and technical measures to protect it.
8. How long we keep it
- Active account: for as long as the account exists.
- Requests not approved: up to 12 months, to prevent repeated fraudulent requests and handle complaints; then they are deleted, together with their documents.
- Account closure: immediate deactivation; data deleted after 30 days; backups may take up to 90 days to be renewed. There is no reactivation.
- Kept, to a minimum: the record of acceptance of these documents, billing and tax records the law requires, and whatever was already shared with other people outside Conexta.
9. Your rights and how to exercise them
You may ask for access to your data, correct it, delete it or object to certain uses, depending on the law that applies to you. You can close the account from the app, at conexta.us/eliminar-datos or by writing to info@conexta.us. If you cannot access your email, use conexta.us/escribenos for a manual review. We reply within the periods set by the applicable law.
10. Security
We use encryption in transit, protected password storage (never plain text), tracking and invitation links with single-purpose tokens stored only as an irreversible fingerprint, usage limits and access logs. No system is 100% secure; if an incident affecting you occurs, we will tell you as the law requires.
11. Health data
Conexta does not need Organizations to send us patients’ health data. Please do not upload it in documents, notes or content. If you include it by mistake, write to us so we can delete it.
12. Minors
The contact person must be over 18. If we find out that they are not, we may close the request or account and delete their data.
13. Changes to this policy
We may update this policy. Each version has a number and a date; if a change is significant, we will ask you to accept it again.
